Our client is a prominent player in the foodservice distribution industry. The primary goal of the project was to implement a structured approval process for inventory adjustment requests, thereby enabling the client to track adjustments effectively and control the financial impact associated with each adjustment posting.
This tool serves as a vital mechanism for the organization to meticulously monitor inventory adjustment requests, ensuring that each adjustment is subject to appropriate scrutiny and approval.
The client required a comprehensive solution to manage inventory adjustment requests, including implementation of a three-level approval workflow.
This approval flow automation of inventory adjustment records should post general ledger entry upon final approval only, and strict permissions and access control over this record and approval flow.
Approval Workflow Implementation: Implemented a three-level approval workflow with approval routing based on employee hierarchy and request amount.
Approvers’ Actions: Developed functionality for approvers to review request details and either approve or reject requests, with rejected requests being closed.
Final Approval Trigger: Implemented triggers to automatically create inventory adjustment records upon final approval of adjustment requests.
Inventory Adjustment Creation: Developed scripts to populate inventory adjustment records with details from approved requests, including item adjustments, quantities, locations, etc.
Permissions and Access Control: Defined appropriate permissions and access control to restrict access to the “Inventory Adjustment Request” record and ensure only authorized users could submit, approve, or reject requests.
User Interface Customization: Customized the user interface of the “Inventory Adjustment Request” record to include relevant fields, sublists for item adjustments, and approval status indicators.
Approval Workflow on IA: Designing an approval flow over inventory adjustment, because there is no native status and NetSuite post GL entry immediate on submit inventory adjustment.
Approval Workflow Complexity: Implementing a three-level approval workflow with dynamic approval routing based on employee hierarchy and request amount required careful planning and execution.
Prevent GL until final approval: It is quite challenging to prevent system to post GL entry until final approval occurred.
Custom Record Design: We collaborated closely with the client to design a custom record that met their specific requirements while ensuring ease of use and data integrity.
Approval Workflow Implementation: We leveraged NetSuite’s SuiteFlow functionality to implement a flexible three-level approval workflow with dynamic routing based on employee hierarchy and request amount.
Automated Inventory Adjustment Creation: Our team developed robust scripts to automate the creation of inventory adjustment records upon final approval, ensuring accurate data transfer and validation.
Permissions and Access Control: We meticulously defined permissions and access control settings in NetSuite to restrict access to the “Inventory Adjustment Request” record and ensure compliance with security policies.
User Interface Customization: We customized the user interface of the “Inventory Adjustment Request” record to provide a user-friendly experience, including relevant fields, sublists, and approval status indicators.
